Import drivers from CSV
Quick path
Section titled “Quick path”- On Fleet → Drivers click Import CSV, then Download template.
- Fill in one driver per row and save as CSV (UTF-8).
- Click Choose file, pick the file and click Upload.
- Check the count and click Done.
What it is and why
Section titled “What it is and why”When you start with Roudiy or hire a whole class of new drivers, add them from one spreadsheet instead of one by one. For example, you export your driver roster — James Carter, Maria Lopez and the rest of the Dallas North and Dallas South crews — into the template and upload it once.
Like the vehicle import, the file is imported all or nothing: one bad row means nothing is added, and you get a list of errors by row to fix.
Before you start
Section titled “Before you start”- By default only the Company Admin can import drivers. A custom role may also have this right.
- Groups named in the file must already exist; the import does not create them. See Groups.
- The import only adds new drivers. It does not update existing drivers and does not assign anyone to a vehicle.
- Drivers don’t sign in, so no one gets an invitation or a password.

The replay could not be loaded. The steps below still describe every action.
Step by step
Section titled “Step by step”-
Open the dialog and get the template.
On Fleet → Drivers click Import CSV. The dialog Import drivers says Fill in the template, one row per line. The file is imported all or nothing. Click Download template and keep its header row exactly as it is:
first_name,last_name,phone,cdl_number,license_state,email,employee_id,groupDana,Driver,(555) 123-4567,D12345678,TX,dana@example.com,E-100,Replace the sample row with your drivers, one per row. Rules for the values:
- first_name, last_name, phone, cdl_number and license_state are required.
- phone must be a 10-digit US number in any common format, for example
(214) 555-0147,214.555.0147or+1 214 555 0147. - license_state is a US state or DC, for example
TX. - cdl_number must not repeat in the file or match a driver you already have, including deactivated drivers.
- Two drivers may share a phone number.
- email and employee_id are optional.
- group is the name of an existing group, for example
Dallas South; upper or lower case does not matter. If your access is limited to certain groups, it is required.
Other fields follow the rules of Add a driver.
-
Choose your file.
Save the spreadsheet as CSV (UTF-8), click Choose file and pick it. Only
.csvfiles up to 5 MB and up to 1,000 rows are accepted. Before you pick a file, the dialog shows No file chosen · .csv up to 5 MB; a longer file shows The file has N rows; up to 1,000 are accepted. In practice, keep each file under 1 MB: a larger file is refused with File is too large (max 5 MB). Nothing was imported. even though the dialog says 5 MB. -
Upload.
Click Upload. The button shows Uploading… while the file is checked.
If anything is wrong, the dialog shows File rejected: N errors. Nothing was imported. and a table with Row, Column and Error. The header is line 1, so your first driver is row 2. Click Download errors (CSV) to keep the list, fix the rows and upload the whole file again.
-
Check the result.
On success the dialog and a message show, for example, 12 drivers imported. Click Done.
What happens next
Section titled “What happens next”- The new drivers are on the Active tab of Fleet → Drivers, with no current vehicle.
- A dispatcher assigns each driver to a truck from the truck’s Live tab.
- Each driver has a profile; the safety score appears after scores are calculated (every Monday).

Questions
Section titled “Questions”Can I update phone numbers for existing drivers with the import? No. The import only adds new drivers. Edit existing drivers on their profile.
Can the file assign drivers to trucks? No. Assignments are not imported. A dispatcher assigns drivers on the vehicle’s Live tab.
A deactivated driver is in my file. What now? The row fails because the CDL exists. Remove the row and reactivate that driver from the Deactivated tab instead.
