Vehicles, drivers and assignments
Three separate things
Section titled “Three separate things”Roudiy keeps three records apart, because each one changes at a different pace.
- Vehicle. The truck itself: Unit #, VIN, plate, make and model, fuel type, weight and axles. The kit is paired to the vehicle, so GPS, engine data and video always belong to a vehicle.
- Driver. The person: name, phone, CDL number and license state. Drivers do not sign in to Roudiy; your company admin creates them as records.
- Assignment. The link between the two: “James Carter drives TRK-101 from Monday morning.” Roudiy uses it to decide which driver a trip or a safety event belongs to.
Think of it this way: the truck records what happens, and the assignment tells Roudiy who was at the wheel.
The one-to-one rule
Section titled “The one-to-one rule”The dashboard states the rule plainly: One active driver per vehicle and one vehicle per driver.
When you assign a driver who is already on another truck, Roudiy warns you, for example Maria Lopez is on Unit TRK-104 now — that assignment will end. Saving moves her to the new truck and closes the old assignment automatically.
Every closed assignment keeps a reason, so you can later see why it ended:
| Reason | What happened |
|---|---|
| Ended by a name (or Ended manually) | Someone clicked End assignment. |
| Auto — new assignment | Another driver was assigned to this truck. |
| Auto — driver moved | This driver was assigned to a different truck. |
| Driver deactivated | The driver record was deactivated. |
| Vehicle deactivated | The vehicle was deactivated. |
The assignment history shows the last 30 days by default and up to 366 days.
Unassigned: when nobody is at the wheel
Section titled “Unassigned: when nobody is at the wheel”If a truck drives with no driver assigned, its Live tab says Unassigned with the line Trips and events are recorded without a driver. Nothing is lost: the trips, GPS and events are all there. They are just not tied to a person.
That matters for safety scores. The Safety Inbox reminds you: Dismissed, recognized and unassigned events don’t affect scores. An unassigned harsh-braking event does not lower anyone’s driver score. It does still count in the vehicle score.
You can fix this after the fact in two ways:
- Assign past trips. In Trips, select finished trips without a driver (up to 50 at a time) and assign them to one driver. It is all or nothing: if that driver was on another truck during one of those trips, nothing is assigned.
- Change the driver on an event. On a safety event, pick the right driver and give a reason. Driver scores will update within 10 minutes. If the event is in an open coaching session, remove it from the session first.
Deactivating, not deleting
Section titled “Deactivating, not deleting”You deactivate vehicles and drivers instead of deleting them, so history is never lost.
- ActiveOn the map and in lists
- DeactivatedAssignment ended, history kept
- ReactivatedBack in the lists
- Vehicle: It leaves the map and lists and its driver assignment ends. History stays; you can reactivate it later. A vehicle with a paired kit cannot be deactivated: unpair the kit in Device Hub first.
- Driver: James Carter will be removed from their current vehicle. History stays.
Unit # and VIN are unique in your company, and a CDL number is unique among drivers. If you add a truck or driver that already exists but is deactivated, Roudiy tells you so (for example This vehicle already exists (deactivated).) and offers to reactivate it instead.
IFTA-qualified vehicles
Section titled “IFTA-qualified vehicles”IFTA covers heavy trucks only. Roudiy decides from two fields on the vehicle:
- GVWR over 26,000 lb, or
- Axles: 3 or more.
The vehicle form shows IFTA qualified: Yes, No, or No — missing GVWR/axles. A vehicle with the Missing GVWR/axles badge is left out of IFTA reports until you fill those fields in. See IFTA basics.
